It can be used on the move too, with optional add-ons that enable users to view, edit and authorise documents from anywhere to speed up the sharing of information with multiple parties.

  • What is WinVoice, and who uses it?

    WinVoice is our suite of document creation and distribution applications, designed to support secure, end-to-end digital workflows. It’s widely used across the NHS by clinicians and secretarial teams throughout the UK, helping them create, verify and distribute clinical documents efficiently without relying on paper.

  • Our documents contain sensitive patient information. Are they secure?

    Yes, security is built into WinVoice as standard. All documents are stored centrally on secure servers and encrypted using 256-bit AES encryption, helping protect sensitive patient data at every stage of the process.

  • We work as a large team. Can documents be shared or routed easily?

    Absolutely. WinVoice is designed for team-based working.

    Users can choose to view only the documents they’ve created or open up access across the wider team (permissions permitting). Documents are automatically routed to the originating clinician for verification, but authorised users can re-route them if needed. WinVoice also supports multi-verifier workflows, allowing several clinicians to sign off a document before it’s distributed.

  • Do we need to print documents?

    Not unless you want to. WinVoice is designed as a digital-first solution. Documents can be distributed electronically using a range of interfaces, including GP systems, EPR systems and secure email - reducing printing and postage costs as well as delays.

  • Is speech recognition supported?

    Yes. WinVoice fully supports speech recognition, allowing clinicians to create documents quickly and efficiently using their voice.

  • Can WinVoice be launched from other systems?

    Yes. While WinVoice works perfectly as a stand-alone application, it can also be launched directly from third-party systems. With WinVoice Web, users can open straight into a new document in full patient context, helping streamline everyday workflows.

  • Do we need to create contacts in WinVoice to send documents?

    In most cases, no. We regularly load national reference files for GPs, dentists and optometrists into the system for you. You’ll only need to create contacts for local or external recipients who aren’t included in those national lists.
