Make security of sound files a high priority, says Voice Technologies
Organisations should make sure they protect the information held in their dictation systems, according to Voice Technologies’ Managing Director Heather Wylie.
Many organisations may be failing to realise the full benefits of the security capabilities in their current dictation solution, or choosing solutions that don’t offer such benefits, she warned.
Market leading digital dictation system WinScribe provides the best security arrangements in this respect on the market and includes handling encrypted files.
Heather said: “What is often overlooked is who can access sound files within the organisation. The last thing an organisation needs is to purchase a system which appears secure from the outside but, once users have access, there are no restrictions to what they can hear. Think of a bank vault, on the outside secure but once inside, all the unsecured valuables it contains can be accessed.”
Heather added: “By its very nature, dictation and transcription plays a large part in the services offered to clients, patients and constituents and should be overseen by those with operational rights and privileges.
“A secure dictation management system should have multiple management layers, so users can only access the information to which they have clearance.
“Appropriate housekeeping and security rules should equally apply to sound and data files. Once the rules are applied, a system such as WinScribe runs automatically. Although IT departments may be involved in some housekeeping tasks, high level management of sound files should be overseen by those nominated as Super Users.”
She said: “With the loss of sensitive information hitting the headlines, it is even more critical that organisations – particularly those in the public sector – are as diligent as they can be in securing data. WinScribe is a quick win.
“We have found that our clients, including those in the NHS, legal and government sectors, are enjoying solid assurance that their dictation solutions are as secure as they can be. This is thanks not only to WinScribe, but also to the good support we provide to make sure that security capabilities in our clients’ solutions are fully exploited.”
